Provide dimensions and the original file
Send original vector artwork when available and state the finished dimensions. If text must use a specific typeface, explain how it should be preserved or approved. Include a separate readable reference showing what the mark should say. A file name such as “final-final” is not a reliable revision system.
Distinguish fixed and variable content
Separate a permanent logo from serial numbers, dates or lot fields that change. Define the format of each variable field, including leading zeros and permitted characters. A proof should make clear which values are examples. Ask for clarification if the supplied layout could be interpreted as an instruction to mark the same sample number on every part.
Approve at actual size
A graphic can look sharp when enlarged on a monitor yet lose important detail at the required size. Review the proof with dimensions and part orientation shown. For an unfamiliar material or very small detail, approve a representative sample. Retain the accepted file, revision and approval with the order so production does not rely on an older attachment.
